This privacy policy explains how we process personal data when you use www.staycool-valencia.com, when you contact us via WhatsApp, phone or email, and when you rent portable air conditioning or heating equipment from us.

3. Personal data we collect

We do not use contact or booking forms on this website. Personal data is processed in the following cases:

  • When you contact us via WhatsApp, phone or email: the information you voluntarily provide, such as your name, phone number, email address, delivery address, rental dates, type of equipment requested, and any other message content (including photos or voice messages sent via WhatsApp).
  • When a rental contract is concluded: data required for delivery, invoicing and customer support (e.g. name, address, contact details, rental period, payment and billing information).
  • When you visit this website: limited technical data such as IP address, browser type, device information, date and time of access, and cookies where applicable (see section 8).

4. Purposes and legal basis

  • Responding to enquiries via WhatsApp, phone or email — performance of pre-contractual measures at your request and, where applicable, our legitimate interest in answering business enquiries (Art. 6(1)(b) and (f) GDPR).
  • Processing bookings, delivery, installation and customer support — performance of a contract (Art. 6(1)(b) GDPR).
  • Invoicing, accounting and tax compliance — legal obligation (Art. 6(1)(c) GDPR).
  • Operating and securing the website — legitimate interest in providing a functional and secure online presence (Art. 6(1)(f) GDPR).
  • Marketing communications — only with your consent where required by law (Art. 6(1)(a) GDPR).

WhatsApp: If you contact us via WhatsApp, your messages are processed through the WhatsApp service provided by Meta Platforms Ireland Limited / Meta Platforms, Inc. Meta may process data outside the European Economic Area. We have no control over Meta's data processing. For more information, please see WhatsApp's Privacy Policy. By contacting us via WhatsApp, you also accept that your data may be processed by Meta in accordance with their terms.

5. How long we keep data

  • Enquiry and contract data: for the duration of the rental and thereafter as required by Spanish commercial and tax law (generally up to 6 years for accounting records).
  • Technical logs: typically up to 12 months unless a longer period is required for security incidents.
  • Marketing data: until you withdraw consent or object.

6. Recipients and international transfers

We may share personal data with service providers who assist us with website hosting, email, accounting or payment processing, under data processing agreements where required. We do not sell your personal data.

If you contact us via WhatsApp, data is transmitted to Meta as the provider of the messaging service. Meta may transfer data to countries outside the European Economic Area (including the United States).
